Position Description


Job Summary:

Reporting to the CEO and working with the leadership team, the Fund Development Coordinator will be responsible for creating, implementing and evaluating fund development strategies for the organization.  This role will also assist with grant development, donor stewardship and assisting with special events.

Future growth of the role may include developing strategies for planned giving and major gifts. This is a full-time, permanent position offering a competitive salary, extended healthcare benefits and enrollment in the Healthcare of Ontario Pension Plan (HOOPP).


Job Description and Primary Responsibilities:

Fund development strategy

  • As part of the CMHA Middlesex leadership team, develops an achievable fund-development plan that is aligned with the organization’s strategic plan
  • Develops and helps to maintain reporting and recognition activities for various donor groups as well as individual and corporate major donors

Fund development activities

  • Plans and executes fundraising activities and events by setting goals, establishing a work-plan, preparing a budget for approval, and coordinating the appropriate involvement of volunteers and staff
  • Coordinates and participates in, where needed, third party fundraising events for CMHA Middlesex, ensuring compliance with policies and guidelines (e.g., accurate branding and messages), building relationships, and fostering stewardship
  • Plans, coordinates, implements and evaluates all direct marketing (mail, phone and email) activities with support from external vendors as needed
  • Prepares and submits grant applications as necessary to generate funds in line with the agency’s strategic plan

Donor stewardship

  • Builds relationships with existing major gift donors and develops reports, agendas and business plans for investment opportunities, in preparation for in-person donor meetings.
  • Develops solicitation lists for annual giving and mailing campaigns
  • Engages in community development including participating in relevant, identified community activities

Communications and marketing

  • Promotes the CMHA Middlesex “brand” and coordinates fund-raising marketing, promotions, social media and communications with the Communications Coordinator, and in compliance with the CMHA Middlesex communications strategy
  • Prepares and distributes written content for appropriate seasonal themes and commemorative or promotional awareness events or weeks

Monitoring and evaluation

  • Makes budgetary recommendations and works closely with CEO to develop and manage a   fund-raising budget; monitors progress of income goals and expenses
  • Monitors and evaluates all fundraising activities to ensure that the fundraising and other goals are being achieved and reports same to leadership
  • Prepares regular reports on progress, budgets, receipts, and expenditures related to development activities
  • Liaises with staff member who handles gift processing and receipting

Job Specifications:

Required Qualifications

  • Minimum of five years’ experience in annual giving and at least two years’ experience in major gifts
  • Excellent administrative and organizational skills
  • Exceptional oral and written communication skills
  • Extensive working knowledge of MS Office Professional and fundraising databases
  • Ability to work collaboratively as part of an overall fund development and communication strategy
  • Ability to think strategically and create long-term plans for fund development
  • Understands the complexities of, and supports, fund-raising needs for multiple brands
  • Ability to manage multiple tasks in a fast-paced, collaborative environment
  • Conveys the values and mission of the organization to funders
  • Access to a vehicle and current driver’s license
  • Ability to support fund-raising activities after regular work hours, as needed
  • Experience and maturity working with community volunteers and leaders in a fundraising context
  • Current, clear Police Information Check (PIC)
  • Adherence to charitable industry guidelines on ethical conduct in fundraising practice
  • Commitment to organizational requirements around privacy and confidentiality

Preferred Additional Qualifications and Experience

  • Certified Fundraising Executive (CFRE) designation or working towards it
  • Ability to work effectively under pressure at times, with tight deadlines
  • Ability to accommodate unexpected changes in work schedule
  • Experience working with the public, including public speaking / presentations
  • Demonstrated sensitivity and understanding of the strength, struggle, and resilience of individuals experiencing mental illness, addiction, and/or homelessness within the community
  • French language would be an asset
  • Experience working with online fundraising platforms like Frontstream
  • Experience using donor management software (Giftworks)

Hours of Work:

  • 35 hours per week, predominately Monday through Friday, 8:30 am – 4:30 pm with one unpaid hour for lunch
  • May be required to work evenings and weekends during campaigns and special events
