Salary:                    Approximately $40,000/year plus benefits after 3 month

 Primary Function: 

This is a full time permanent position, providing legal administrative support for lawyers and paralegals at a community legal clinic funded by Legal Aid Ontario.  We are seeking someone with the ability to work co-operatively with all staff in a high pressure environment.  The person must be fluent in English and able to communicate well in writing, must demonstrate technological aptitude, focus and attention to detail.  Sympathy for particularly vulnerable clients including victims of intimate partner violence, victims of torture, and clients facing mental health and addictions challenges and for refugees and immigrants is also required.

 Key Accountabilities: 

  • Prepare client and lawyer correspondence
  • Draft simple affidavits
  • Prepare litigation materials under the supervision of counsel, including binding and photocopying
  • Complete client intakes involving confidential interviews with new clients to obtain a brief history of their background and legal issues
  • Prepare and manages client files, including opening and closing files, and record keeping and reporting
  • Set up appointments for clients and interpreters as requested
  • Enter change of case information into legal files as required
  • Provide back up reception
  • Support office manager in her dutiesAdditional, specific duties as outlined by the executive director 

Required Skills and Experience:

  •  Excellent verbal and written communication skills
  • Attention to detail
  • Intermediate to advanced skill level in Microsoft Office products such as Word, Outlook, Excel, Adobe, PDF and the ability to enter and retrieve information in a client service and case management system (CIMS)
  • Bookkeeping/accounting skills are a strong asset
  • The ability to multi-task, to work well under pressure, and to exercise sound judgment while doing so
  • Ability to take initiative, work with limited instruction, identify problems and suggest and implement feasible solutions
  • Proven ability to learn and adapt to new or modified policies and procedure
  • Demonstrated commitment to client service and relationship building skills
  • Team player willing to perform a variety of tasks as the necessity demands
  • Previous administrative experience particularly in a law office preferred
  • Law clerk or related diploma an asset
  • Knowledge of social assistance and landlord tenant law, tribunal policies and procedures preferred
  • Fluency in English required
  • Knowledge of a second language an asset
