Email addresses

Current system

The organization email is usually the public email, and there is only one email address for the organization.  To find the primary contact or billing contact, the organization has a text field with a name in it. Member orgs have drupal accounts, typically for the staff member responsible for the membership.  Sometimes the drupal account belongs directly to the organization.  Changing which person has this access can be difficult, because some people are involved with more than one organization - you do not want to change people accounts, only organization accounts. 

Each drupal account has an email.  Drupal accounts have unique emails (but civi allows duplicates). 

Preferred system

Organizations can have more than one email. 

  • Use the address type "main" for the public email address.
  • Use the address type "billing" for membership renewal notices.
  • Use the radio button "bulk email" for the post expiry notices.

Right now, only staff can edit these emails within Civi, they are not exposed on membership forms.

Who receives membership renewal reminders

Membership reminders go to the email for the organization - it will look for one marked "bulk mailings", or use "primary" (two system built-in settings).  

Who receives post expiry reminders

Reminders for posts go to the account that made the post, even if that person isn't with the org anymore.
