WILL Employment Solutions is looking to add a valuable network-building individual to our team.   Reporting to the Manager, Building & Administration, the Data Entry & Administrative Assistant will be responsible for entering client and employer data into databases as per contractual requirements, preparing, reviewing, and/or editing various forms of correspondence.  This position performs file/data audits and quality assurance and will assist in the compilation of data for various reports.

WHO ARE YOU? 

  • 2 years experience in a related role or in customer service.
  • Accurate data entry skills and ability to manage data, analyze information, and create reports.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent written, verbal, and nonverbal communication skills.
  • Experience using database platforms.
  • Organized with good time management skills and the ability to adapt to changing priorities.
  • Ability to multi-task and complete projects with frequent interruptions.
  • Ability to handle conflict and defuse situations.
  • Ability to work in a team environment as well as independently.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Cross-cultural competency with an ability to interact and work effectively with people from different cultures and backgrounds.
  • Professional demeanor and ability to handle confidential information.

OUR ASK? 

  • Conduct data entry, data quality assurance, and general administrative duties.
  • Pull data reports from internal Tracker database and update third party funder databases on client and employer activities per contractual requirements and internal business rules.
  • Liaise across all teams and services to troubleshoot issues with missing data capture.
  • Review and audit client and employer files and request missing information in order to update, open or close files.
  • Actively connect new clients with System Navigation Team for intake and referrals.
  • Create, develop and submit data reports.
  • Prepare, review and/or edit various forms of correspondence such as data reports, presentations and publications.
  • Organize, maintain, and coordinate data and office records and files.
  • Process general office duties including photocopying, faxing, filing, and shredding.
  • Accurately and appropriately file correspondence.
  • Provide routine administrative and clerical support to service delivery across the organization and its projects.
  • Provide Front Desk coverage including all reception desk duties and phone coverage.
  • Maintain up to date knowledge of all services and programs offered by WILL and effectively communicate promote them to clients and potential clients.
  • Intentionally and strategically collaborate across WILL programs to support the achievement of the WILL mission and vision.
  • Maintain a high level of confidentiality in all interactions.
  • Serve as a point of entry person and distribute client files among other administrative team members.
