Join Our Team as an Executive Assistant!
Are you a highly organized professional with exceptional communication skills and a knack for providing executive-level support?
We’re looking for an organized taskmaster who will play a critical role in supporting our CEO, Board of Directors, and Senior Leadership Team. In this role, you’ll manage a wide range of advanced-level administrative tasks, from preparing correspondence, reports, and presentations to maintaining meticulous records and coordinating key meetings. You’ll also act as the Assistant Corporate Secretary for our Board, contributing to governance leadership and ensuring compliance with regulations and policies.

Key Responsibilities:
Executive and Administrative Support
- Draft and proof correspondence, reports, agendas, and executive minutes.
- Organize files, databases, directories, and office systems.
- Track Board meeting attendance and maintain comprehensive records.
- Coordinate appointments, meetings, conferences, and travel arrangements.
- Support the CEO, COO, and Senior Leadership Team with document preparation and administrative needs.
- Ensure timely policy updates and their application to relevant platforms.
Governance and Board Support
- Convene Board, committee, and membership meetings as required.
- Draft, prepare, and distribute confidential Board and committee materials, including agendas, reports, and minutes.
- Manage Board and committee logistics, ensuring timely dissemination of materials and follow-up on action items.
- Act as custodian of Board-related documents, including minute books and resolutions.
- Guide Board recruitment, orientation, and training initiatives.
- Issue official notices such as Call for Nominations and AGM notices.
- Collaborate with the Governance Committee on compliance, succession planning, and governance best practices.
- Participate in internal and regulatory governance audits.
About You:
- Post-secondary education or equivalent experience in a related field.
- 3-5 years of experience in an administrative role, ideally supporting executive leadership.
- Excellent written and verbal communication skills.Proven leadership and decision-making ability.
- High attention to detail and accuracy.
- Strong organizational and time management skills.
- Able to work within tight deadlines and coordinate information from a variety of sources.
- Consistently demonstrates confidential, professional behaviour
- Strong interpersonal skills with a commitment to exceptional customer service.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
- Advanced keyboarding and transcription skills.
- Experience working with a Board of Directors is an asset.
- Demonstrated ability to maintain confidentiality and professionalism.
