Gift Processing & Finance Associate

Reporting to the Director of Operations and Finance, the Gift Processing and Finance Associate is responsible for the accurate recording, processing, and acknowledgment of all donations received by Brain Tumour Foundation of Canada. This role also supports the finance department with various accounting and administrative tasks, ensuring efficient financial operations. The ideal candidate will have strong attention to detail, excellent organizational skills, and a commitment to maintaining donor confidentiality and data integrity.

 

Key Responsibilities:

  • Accurately record and process all donations in the donor database, including cash, cheques, credit cards, and online gifts.
  • Promptly and appropriately acknowledge all donations, including generating and mailing thank you letters, and issue tax receipts in compliance with Canada Revenue Agency (CRA) regulations.
  • Create records for new donors and make necessary changes to existing donor records, ensuring all information is up-to-date and accurate.
  • Answer phone calls courteously, take donations over the phone and respond to donor inquiries.
  • Reconcile daily, weekly, and monthly donation batches to financial records.
  • Support the finance department with accounts payable and receivable tasks, including invoice processing, payment processing, and bank deposits.
  • Assist with monthly bank reconciliations and financial reporting.
  • Help prepare financial documents and reports for internal and external stakeholders, including audits.
  • Maintain organized and accurate financial records and documentation.
  • Provide general administrative support to the Operations & Finance and Fund Development teams, including data entry, filing, and correspondence.

  

Qualifications, Skills & Experience:

  • Post-secondary degree or diploma in a related field (finance, accounting, business or office administration) or combination of education and experience.
  • Minimum of 2 years of experience in a similar role.
  • Proficiency in Microsoft Office Suite, accounting software and donor management systems (e.g., Raiser’s Edge, Financial Edge, NXT, Raisin).
  • Strong attention to detail and high level of accuracy in data entry and financial record-keeping.
  • Excellent organizational skills, with the ability to manage multiple tasks simultaneously, prioritize effectively and meet deadlines while demonstrating adaptability to changing priorities.
  • Knowledge of CRA regulations related to charitable donations is an asset.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently and as part of a team in a fast-paced and evolving environment.
  • Strong interpersonal and communication skills, both written and verbal.
  • Vulnerable Sector Police Check required.
  • Bilingual (English and French) is an asset.
