Policy on Fraudulent Job Postings (Pillar Job Board)

Policy on Fraudulent Job Postings (Pillar Job Board)

Effective date: January 1, 2026
Owner: Pillar Nonprofit Network (Job Board team)
Applies to: Pillar’s Job Board, as an online platform that displays publicly advertised job postings.

1) Purpose

Pillar’s Job Board exists to help people find meaningful work in the nonprofit and community sector. This policy explains how we prevent and respond to fraudulent job postings and how users can report them.

The jobs on the Pillar Nonprofit Network Job Board are posted by Pillar Nonprofit Network's nonprofit member organizations and are not monitored by or affiliated with our organization. Please reach out to the contacts listed on each job posting for questions or concerns. We encourage you to use discretion when navigating third party job posting websites that sometimes mine the information from job boards incorrectly. Please note that any future openings for employment at Pillar will be posted directly to our job board.

2) What we mean by “fraudulent”

A job posting may be considered fraudulent if it appears intended to deceive, scam, or mislead job seekers. Examples include:

  • Requests for money, gift cards, or “fees” to apply or to receive an offer
  • Requests for sensitive personal information early in the process (e.g., SIN, banking info)
  • Impersonation of a real organization or staff person
  • False claims about pay, location, or employment terms
  • Pressure tactics, threats, or unusually secretive communication
  • Suspicious email domains or contact details that don’t match the organization

3) How to report a suspected fraudulent posting

Users can report suspected fraudulent postings through:

What to include:

  • The job posting link (URL) and job title
  • The organization name used in the posting
  • What feels fraudulent (examples: unusual requests for money, personal info, or “too good to be true” details)
  • Screenshots or messages (optional)

4) What Pillar will do when we receive a report

When a report comes in, we may:

  • Acknowledge receipt and log the report
  • Review the posting and any available information
  • Contact the posting organization for verification (where appropriate)
  • Temporarily hide the posting while we review
  • Remove the posting if we believe it is fraudulent or unsafe
  • Block repeat offenders and/or restrict future postings
  • Where appropriate, share guidance with the reporting person on additional reporting options (e.g., police, Canadian Anti-Fraud Centre)

We aim to review reports as quickly as possible. Timing may vary depending on complexity and our ability to verify details.

5) Limits of our role

Pillar is not a law enforcement body and cannot guarantee that all postings are legitimate. We do our best to reduce risk and respond quickly to concerns.

6) Privacy

We handle reports with care. We may share relevant details with the organization that posted the job when needed to verify legitimacy, but we will not share a reporter’s identity unless we are required by law.

7) Posting this policy and keeping records

This policy is posted in a conspicuous place on the Job Board and kept available to users. Pillar will retain copies of this policy (including older versions) for three years after a version is replaced or no longer in effect.
