About Us:
Single Women in Motherhood (S.W.I.M.) is a non-profit organization dedicated to offering single mothers hope, support, and guidance. We empower them to achieve a safe and secure future for themselves and their families through positive programs that promote financial, emotional, and personal growth, self-worth, and intellectual development. Our mission is to enrich the lives of single mothers and their families through accountability, responsibility, and a positive approach to personal development.
Main Duties:

Assist with the preparation and distribution of documents (correspondence, promotional material, donation letters)

Key in, edit, proofread, and finalize documents, reports, invoices, forms, and other office documents using a computer. Information management and Data entry.

Answer the telephone and take messages.

Respond in person or to electronic enquiries, or forward emails to the appropriate person.

Provide general information to clients (single moms) and the public.
-
Perform general clerical duties like photocopying, mailing, filing, distributing mail, faxing, printing, etc.

Process incoming and outgoing mail (manually or electronically).

Provide assistance for board meetings. Gather, organize, and update information to prepare the Executive Director Report.

May order supplies, service office equipment, and arrange for servicing in case of major repairs.

Schedule meetings, and contact clients (single moms, volunteers, sponsors, community partners) according to ED instructions and SWIM needs.

Greet visitors, ascertain the nature of business, and direct visitors to the appropriate person
Requirements:

College Diploma or Certificate in Business Administration, Office Administration, Office Assistant, or a related discipline, or equivalent years of related experience

Excellent organizational skills

Good communication skills (written and verbal)

Interpersonal skills, Customer service, and leadership skills.

Self-direction and initiative

Excellent computer skills. Proficiency with Microsoft Office (word, excel, PowerPoint), windows email, and Internet browsers.

Required Qualifications/Training:
Proven administrative experience
CPR/First Aid Certificate (considered an asset)
Skills Preferred:
High school diploma or equivalent. Superb written and verbal communication skills. Strong time-management skills and multitasking ability. Aptitude for learning new software and systems. Proficient in Microsoft Office.
