    Single Women in Motherhood (S.W.I.M.) is a non-profit organization dedicated to offering single mothers hope, support, and guidance. We empower them to achieve a safe and secure future for themselves and their families through positive programs that promote financial, emotional, and personal growth, self-worth, and intellectual development. Our mission is to enrich the lives of single mothers and their families through accountability, responsibility, and a positive approach to personal development.

    Main Duties:

    • Assist with the preparation and distribution of documents (correspondence, promotional material, donation letters)

    • Key in, edit, proofread, and finalize documents, reports, invoices, forms, and other office documents using a computer. Information management and Data entry.

    • Answer the telephone and take messages.

    • Respond in person or to electronic enquiries, or forward emails to the appropriate person.

    • Provide general information to clients (single moms) and the public.

    • Perform general clerical duties like photocopying, mailing, filing, distributing mail, faxing, printing, etc.

    • Process incoming and outgoing mail (manually or electronically).

    • Provide assistance for board meetings. Gather, organize, and update information to prepare the Executive Director Report.

    • May order supplies, service office equipment, and arrange for servicing in case of major repairs.

    • Schedule meetings, and contact clients (single moms, volunteers, sponsors, community partners) according to ED instructions and SWIM needs.

    • Greet visitors, ascertain the nature of business, and direct visitors to the appropriate person

    Requirements:

    • College Diploma or Certificate in Business Administration, Office Administration, Office Assistant, or a related discipline, or equivalent years of related experience

    • Excellent organizational skills

    • Good communication skills (written and verbal)

    • Interpersonal skills, Customer service, and leadership skills.

    • Self-direction and initiative

    • Excellent computer skills. Proficiency with Microsoft Office (word, excel, PowerPoint), windows email, and Internet browsers.

    • Respect for diversity. 

    • Flexibility, dependability, and multitasking skills.

Required Qualifications/Training: 
Proven administrative experience
CPR/First Aid Certificate (considered an asset)
Skills Preferred: 
High school diploma or equivalent. Superb written and verbal communication skills. Strong time-management skills and multitasking ability. Aptitude for learning new software and systems. Proficient in Microsoft Office.
