Job Overview

In this role you will be responsible for presenting a positive image for our organization as a frontline worker. You will be responsible for meeting with existing clients and their children, signing up new single moms, answering telephone calls, chats, and emails; supervising children in the Little Fish Program, and providing additional support as needed. 

Responsibilities and Duties

  • Greet visitors including new clients, existing clients, community members, and/or contractors. 

  • Prepare, key in, edit, and proofread correspondence, invoices, presentations, and reports. 

  • Schedule and confirm appointments and meetings of the agency including the Executive Director. 

  • Set up and maintain manual and cloud-based information filing systems. 

  • Update client sheets in our database.

  • Update active volunteer files and close inactive volunteer files.

  • Determine and establish office procedures. 

  • Handle all incoming phone calls, emails, and chat messages, as well as make outgoing calls to clients and communicate with community partners.

  • Send out forms and program brochures to new clients. 

  • Record and prepare meeting minutes.

  • May compile data, statistics, and other information to support research activities.

Requirements

  • Completion of secondary school education

  • Completion of a 1 or 2 year college administration program. 

  • Demonstrated experience in administration and/or a desire to learn.

  • Must have problem solving, critical thinking and excellent time management skills. 

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • English fluency in communication both written and verbal.

  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability. 

  • Proficiency in Google Workspace and Canva is preferred. 

  • Passion for supporting single mothers and advancing our organization's mission. 

  • CPR/First Aid Certification (considered an asset). 

  • Criminal Reference and Vulnerable Sector Checks.

Required Qualifications/Training: 
Proven administrative experience
CPR/First Aid Certificate (considered an asset)
