Position Description: Volunteer Coordinator

Reports to: Artistic Director

Location: Remote

Time Commitment: Flexible, more or less depending on project.

Summary

The Volunteer Coordinator plays a vital role in our organization by acting as the primary point of contact for our volunteers. This position is responsible for recruiting, training, and managing our volunteer team to ensure they have a positive and productive experience. Our FOH volunteers deliver posters and distribute postcards, scan tickets, usher and ensure audience members are comfortable. Behind the scenes our volunteers are Assistant Stage Managers, build risers and flats, gather set pieces and props and assist in setting up the seating and stage area.  The ideal candidate is a highly organized, enthusiastic individual with excellent communication skills and a passion for our mission.

Key Responsibilities

  • Volunteer Recruitment & Onboarding:
  • Develop and implement strategies to attract new volunteers.
  • Respond to inquiries from prospective volunteers in a timely manner.
  • Conduct orientation and training sessions for new volunteers.
  • Maintain volunteer records, including applications and contact information.
  • Scheduling & Coordination:
    • Create and manage the volunteer schedule to ensure adequate coverage for performances, production support and events.
    • Communicate regularly with volunteers regarding their assignments, roles, and any changes.
    • Fill in for volunteers as needed.
  • Volunteer Support & Recognition:
    • Serve as the main point of contact for volunteers, answering questions and addressing any concerns.
    • Act as a liaison between volunteers and staff to ensure clear communication.
    • Organize and manage volunteer recognition events or initiatives to show appreciation for their hard work and dedication.
  • Administrative & Reporting:
    • Maintain an organized system for tracking volunteer hours and activities.
    • Assist with the development and improvement of volunteer-related policies and procedures.

Qualifications

  • Strong organizational and time-management skills with a great attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with basic office software (e.g., Google Suite, Microsoft Office).
  • Ability to work independently and as part of a team.
  • A friendly, professional, and enthusiastic demeanor.
  • Experience with volunteer management or event coordination is a plus but not required.
